Deposit Amount, Schedule, Cancellations and Refunds

Payment may be made by credit card, check or money order payable to Naturalist Journeys, LLC.

  • Required Deposit: $500 per person. If requesting the single supplement please be sure to confirm this upon registration. Cruise and Safari Deposit: $750 or as our partner companies require.
  • Once we receive a deposit and registration forms we can confirm your space. The balance of payment is due 90 days prior to departure. Cruise and Safari payment is due 120 days prior to departure.
  • Payment in full is required when booking within 90 days prior to departure.

Cancellation Policy

  • Prior to final payment at 90 days (120 days for Cruises and Safaris) according to stipulation stated above, $100.00 of this deposit will be non-refundable, but may be transferred to another program of the company within one calendar year. It may also be transferred to another person in the same room category or as space is available. Cruise and safari deposits are subject to terms of the cruise or safari company we contract with.
  • Upon final payment at 90 (120 days for Cruises and Safaris) days, the remaining amount of your deposit, and other tour fees due as outlined in the itinerary, will be refundable only as follows:
    • In full, with cancellation IN WRITING 91 (121 days for cruises and safaris) days prior to departure, subject to policies of providers requiring payment ahead of 90 days (or 120 days for cruises and safaris) based on destination and requirements.
    • Cancellation made 90 to 60 days: 30% of your tour fee, plus any additional, non-refundable payments made to providers. Note: Cruise and safari company policies apply to those destinations.
    • Cancellation within 60 days of departure: NO REFUND.
    • NO REFUND will be made for lost nights or services due to flight delays or cancellation, including weather delays.
    • We strongly recommend purchase of trip insurance. Some destinations, particularly cruises, require medical and evacuation insurance. Most companies require you purchase trip insurance within 10-14 days of registration to cover pre-existing conditions. For non-pre-existing conditions there is no time frame required but we recommend you have in in place by final payment at 90 days. Insurance is based on your age bracket and trip cost, you choose the amount to insure (it does not have to be to the penny of your trip cost, its a bracket). Participant Responsibility

Though these trips are not strenuous, participants should be in good health and able to handle several hours of walking per day and adjusting to differences in altitude, time changes and other factors relating to a tour. Participants agree to Naturalist Journeys, LLC Terms and Conditions, Assumption or Risk, and Waiver and Liability upon registration.

While we endeavor to make travel arrangements with reputable suppliers, Naturalist Journeys, LLC assumes no responsibility for the willful or negligent acts and/or omissions of such suppliers or of any air carrier or their respective employees, agents, servants, or representatives, including, without limitation, their failure to deliver or their partial or inadequate delivery of such services. All receipts, coupons, and tickets are issued subject to the terms and conditions specified by the suppliers, and/or air carriers.

Naturalist Journeys, LLC assumes no responsibility for loss, theft, damage or accident to participant's baggage or personal effects. Naturalist Journeys, LLC assumes no responsibility when any hotel, airline, air transport, train, van or bus transport, or any ground operator, or ship or watercraft operator is unable to provide any services assigned as part of this tour. Naturalist Journeys, LLC shall, however, use its best efforts to obtain comparable services and accommodations as soon as possible.

Changes in Services

Naturalist Journeys, LLC reserves the right to make changes in the published itinerary whenever, in its judgment, conditions warrant. Costs are subject to change due to changes in airfares, currency fluctuations, park fees, or other cost increases. Naturalist Journeys, LLC reserves the right to withdraw without penalty any tour that it has scheduled and announced. Naturalist Journeys, LLC is not responsible for expenses incurred by trip members in preparing for the trip (for example, non-refundable air tickets, visa fees, equipment, medical expenses, etc.) or for any necessary additional travel arrangements.

The right is reserved to decline to accept any person as a member of the tour, or to require any participant to withdraw from the tour at any time, when such action is determined by the tour director or supplier to be in the best interests of the health, safety, or general welfare of the tour group or of the individual participant.
